We are looking to appoint a part-time Committee Clerk who will work with the Town Clerk (Democratic Services) and the Communications and Committees Officer to: -
Provide an effective and efficient service to ensure that the democratic processes of the Council are carried out in accordance with appropriate regulations and the Council’s Standing Orders.
Specific duties will include: -
Drafting agendas with the Chairs/Vice Chairs as appropriate.
Ensuring that supporting documents and reports for agendas are provided in line with the pre-planned schedule.
Attendance at Committees and Working Group meetings to ensure that all attendances, apologies, authorised agreements and actions are recorded.
Occasional attendance at Council Meetings to provide cover for the Communications and Committees Officer.
Ensuring audio recordings are made of all Part 1 agenda items.
Drafting minutes for approval by the Chairs/Vice Chairs of Committees.
Occasionally drafting minutes for the Mayor and Deputy Mayor for meetings of the full Council.
Assisting in ensuring that agreed agendas and minutes are placed on the Council’s web site in a timely manner.
Communicate any agreed actions, ensuring that areas of responsibility have been identified.
Dealing with draft correspondence.
Applicants should be able to demonstrate: -
A willingness to undergo relevant training
Good oral and written communication skills
A potential to support a growing, community-focused organisation
Self-motivation and the ability to work with minimal supervision
The ability to work effectively and supportively with the council’s Members
PLEASE NOTE: Currently all committee meetings commence at 6.30pm and flexibility regarding non-standard working hours will be required.
